What we collect
Documents you upload (invoices, agreements, rate sheets, delivery, pickup and off-rent records), the data extracted from them, your account details (name, company, email address and a salted hash of your password, never the password itself), and product usage events.
How documents are used
Documents are used only to produce your audit. They are stored privately and are never reachable through a public link. Irrelevant personal details and image metadata are removed before documents are sent to any processing provider where practical.
Processors
We use these providers, and only these, to run EquipRecon today. Vercel: hosting and serverless compute, United States. Neon: Postgres database for accounts, workspaces and the values read from documents, United States. Cloudflare R2: private storage for uploaded files, United States. Anthropic: reads the text of documents you upload to your own account and returns the invoice lines, rates, dates and clauses it finds, United States; under Anthropic's commercial terms this data is not used to train its models. Email addresses, phone numbers and bank details are removed from the text before it is sent. Photos and scans have no text to remove them from, so their page images are sent as they are. Documents in the public sample workspace are never sent to Anthropic. Resend: sends account email such as password reset links, from getequiprecon.com; it receives your name and email address and the message, Europe (Ireland). Google: email, for the contact address and free-audit correspondence. Any provider we add will be listed here before it is used.
Retention and deletion
Free audit: uploaded documents, their files and the values read from them are deleted automatically 30 days after upload. Paid workspaces: they are kept for the workspace retention period, 90 days by default. Audit results, including the short quotes cited as evidence, stay in your workspace until you delete it. You can delete a single document at any time, or your whole account and all its data from the Account page; both take effect at once. Database backups expire within 30 days after that.
