How to check an equipment rental invoice against the off-rent date

Days billed after an equipment rental was called off are only found when someone puts the invoice next to the off-rent confirmation and the agreement. This is that check, step by step, with a worked example.

Published .

What you need

  • The rental invoice, with the line for the machine you are checking.
  • The rental agreement or the rental contract terms, for the clause on when charges end.
  • The agreed rates: the rate sheet, quote or rate schedule attached to the agreement.
  • The off-rent confirmation: an email, an off-rent number or a portal entry.
  • The pickup ticket, if the machine has been collected.

The check in six steps

  1. 1. Find the clause that says when rental charges end

Open the rental agreement or the terms on the back of the rental contract and look for the clause about off-rent, return or termination of rental. It decides which date counts.

Some agreements end charges on the date the rental company receives your off-rent notice, whether or not the machine has been picked up. Others end charges when the equipment is picked up or returned to the branch. Some add a cut-off time, for example a call after 2 pm counts from the next day. Note the clause number: you will quote it.

  2. 2. Find the off-rent date and the proof of it

The proof is usually an off-rent confirmation email, an off-rent or call-off number given on the phone, or an entry in the rental company's online portal. Write down the confirmation number and the date it shows.

If the off-rent was called in by phone and nobody wrote down a number, the check still works, but the dispute is weaker. Ask the jobsite for the date and the name of the person they spoke to.

  3. 3. Read the billed period on the invoice line

Each rental line shows the asset or unit number, a period (for example 03/03/26 to 03/16/26) and the units charged: days, weeks or 4-week periods. If the invoice covers several machines, match the unit number on the line to the unit number on the off-rent confirmation.

  4. 4. Count the billable days

Billable days run from the start of the billed period to the date the charges end under your agreement. Count both the first and the last day. Everything after that date is billed after off-rent.

  5. 5. Reprice the billable days at the agreed rates

Take the day, week and 4-week rates from your rate sheet or the agreement's rate schedule, not from the invoice. Then find the lowest charge for the billable days: the cheapest combination of day, week and 4-week periods. Many rate sheets cap daily charges at the weekly rate this way; check how yours words it. Seven days at a day rate is usually more than one week.

  6. 6. Compare and note the difference

The difference between what was billed and the lowest charge for the billable days is the amount to dispute. While you have the documents open, also check the pickup ticket: a pickup fee for a trip that did not happen, or a refuelling charge when the ticket shows a full tank, are found the same way.

Worked example

Illustrative documents from a made-up rental company. The same documents are used in the sample audit.

A 10,000 lb telehandler, unit 60817, was delivered on March 3. The agreement says, in clause 6.3:

“Rental charges end on the date Lessor receives Customer’s off-rent notice, whether or not the equipment has been picked up.”

The off-rent confirmation, OR-2291, says: “Off-rent confirmed for unit 60817 effective 03/09/2026.” The truck picked the machine up the next day, March 10. The invoice line reads:

TH10K TELEHANDLER 10K #60817 03/03/26-03/16/26 2 WK @ 1,360.00 = 2,720.00

Repricing the telehandler line at the agreed rates
ItemValue
Agreed rates (rate schedule)Day $520.00, week $1,360.00, 4 weeks $3,120.00
Billed periodMar 3 to Mar 16, 14 days, 2 weeks
Charges end (clause 6.3, OR-2291)Mar 9
Billable periodMar 3 to Mar 9, 7 days
Lowest charge for 7 days1 week = $1,360.00 (7 days at the day rate would be $3,640.00)
Billed2 weeks = $2,720.00
Billed after off-rent$1,360.00

The pickup a day later does not change the answer, because this agreement ends charges at the off-rent notice. Under an agreement that ends charges at pickup, the billable period would run to March 10 and the lowest charge would be one week plus one day.

What to send the rental company

Keep it to the facts they need to issue a credit: the invoice and line, the clause, the confirmation, and the calculation. For the example above:

Invoice INV-884213, line 3, telehandler #60817: billed Mar 3 to Mar 16 (2 weeks, $2,720.00). Off-rent was confirmed effective Mar 9 (confirmation OR-2291). Under clause 6.3 of our agreement, charges end on that date. Billable: Mar 3 to Mar 9, 7 days = 1 week at $1,360.00. Please issue a credit of $1,360.00. The confirmation is attached.

Common questions

Does rental billing stop at the off-rent call or at pickup?
It depends on your agreement. Some agreements stop charges when the rental company receives the off-rent notice, even if the truck comes days later. Others stop at pickup or return. The clause in your agreement decides, so read it before you count days.
What if we called off-rent by phone and have no confirmation number?
You can still check the invoice, but the rental company will ask for proof. Ask the jobsite for the date, time and the name of the person they called, and ask the rental company to look up the call in their system. Next time, ask for an off-rent number on every call.
Should we dispute before or after paying the invoice?
Before, if you can: a corrected invoice is simpler than a credit. If the invoice is already paid, ask for a credit memo against the line and send the off-rent confirmation with the request.
